HR Management Systems (HRMS) for Organisations in the UAE. The following content explains when the subject is relevant, what information is needed, and how the discussion moves to a practical next step.

Executive Summary

An HR management system brings the employee lifecycle into one record: the file and documents with their expiry dates, attendance and shifts, leave balances and approvals, payroll runs, and appraisal. The core benefit is that a figure is not calculated twice: leave balance, attendance, and pay all come from one source.

Overview

Overview

A clear explanation of the service and how it supports your team.

We help organisations structure the employee lifecycle in one system: recruitment and onboarding, the employee file with documents and visa and insurance expiry dates, attendance and shifts, leave balances and approvals, payroll runs and their outputs, and appraisal. We work on structure, permissions, reporting, and linkage to attendance and finance, taking UAE employment practice into account — end-of-service and time-limited documents among them.

Focus

Employee file, attendance, leave, payroll, and expiring documents.

Service definition

Service definition

What this service means in practice, before talking about deliverables.

The system rests on the employee file as the single reference, with four cycles around it: recruitment and onboarding, attendance and shifts, requests and approvals, and payroll. Each cycle writes to and reads from that same file. Systems that split these cycles across different tools reproduce the very problem of multiple files.

Who this service is for

Who this service is for

The organisations and teams that benefit from it directly.

  • Organisations running attendance, leave, and payroll on separate files.
  • Entities tracking visa, insurance, and certificate expiry dates by hand.
  • Organisations working shifts or multiple sites with different schedules.
  • HR departments receiving requests on untrackable messages.
Business Challenges

Business Challenges

The real operational problems this service addresses.

01

Leave balance calculated by hand, so it differs between the employee and the department.

02

Visa or insurance expiry dates discovered late, after the renewal window has passed.

03

Attendance data carried into payroll by a monthly assembly that consumes days.

04

Leave requests approved on messages, so who approved and when is unknown.

05

The employee file split across a paper folder, an Excel file, and email.

06

Shifts and multiple work sites not reflected in the calculation of working hours.

Scope

Scope

What the engagement explicitly covers.

  • The employee file: personal, job, contractual data, and attachments.
  • Tracking of time-limited documents with configurable advance alerts.
  • Organisational structure, departments, titles, and reporting lines.
  • Attendance, shifts, flexible hours, and multi-site working.
  • Leave: types, balances, accrual, carry-over, and approvals.
  • Payroll: allowances, deductions, overtime, and payslips.
  • End of service and final settlement per the organisation's policy.
  • Performance appraisal with its cycle and forms.
  • Management reports and document-compliance reports.
  • An employee self-service portal.
MHE Approach

MHE Approach

How we coordinate the work to reach the intended outcome.

  1. 1

Assess the current state: how balances and hours are actually calculated today, and where they are stored.

  2. 2

Analyse requirements with HR and finance together, because payroll joins them.

  3. 3

Design the file structure, mandatory fields, and leave and attendance policies.

  4. 4

Configure or develop as the organisation decides, with an editable leave policy.

  5. 5

Integrate with attendance, finance, and the employee portal.

  6. 6

Migrate employee data and balances with a variance report signed off by the HR owner.

  7. 7

Train HR, supervisors, and employees at different levels.

  8. 8

Roll out in stages: one department first, expanding after a full payroll cycle closes.

Expected Outcomes

Expected Outcomes

What the client can expect after delivery.

  • One employee file from which balance, hours, and pay are all read.
  • Advance alerts for time-limited documents instead of late discovery.
  • A payroll cycle that closes without manual assembly from multiple files.
  • A clear approval record for every employee request.
  • Compliance reports ready for internal review.

Integrations

Integrations

The systems and channels this service can connect to.

  • Attendance and biometric devices as the source for working hours.
  • Accounting systems, for posting payroll cost and cost centres.
  • Electronic approval systems, for the request approval route.
  • Document systems, for storing attachments with their versions.
  • The employee portal and management dashboards.
  • Email and messaging services for request notifications and document-expiry alerts.
Security · Governance

Security and Governance

Security

  • Payroll and personal-file data restricted to specific roles rather than open to supervisors generally.
  • A supervisor sees only their team, an employee only their own file, enforced at record level.
  • An audit trail on salary and balance changes, including before-and-after values.
  • Personal documents stored on a protected path, not a shareable direct link.
  • Encrypted backups with a tested restore, and a retention policy matching the organisation's requirements.

Governance

  • Leave and attendance policy approved in writing before it is configured in the system.
  • A named owner per data type: who edits salary and who edits the organisational structure.
  • Access permissions reviewed on every role change or departure.
  • A closed payroll cycle is not amended retroactively except through a documented correction path.
Human responsibility

Human responsibility

What always stays a human decision in this service.

  • Hiring, promotion, and termination are management decisions; the system only records them.
  • Handling an exceptional leave case or a balance dispute requires a human decision.
  • Verifying migrated balances before the first payroll close is HR's responsibility.
  • Legal advice on applying labour law remains with a qualified advisory party.
Use cases

Use cases

Practical examples describing the type of situation, not named clients.

Case 1

An Abu Dhabi organisation with staff across three sites on different shifts needs hours calculated per site on its own schedule, then consolidated into one payroll.

Case 2

An entity tracking hundreds of time-limited documents — visas, insurance, professional certificates — receives scheduled advance alerts instead of reviewing a file monthly.

Case 3

A company wants to end paper requests: leave, salary certificates, and data updates are raised from the employee portal on a clear approval route.

Case 4

An organisation moves payroll calculation from Excel into a system, migrating balances and verifying them before the first cycle.

FAQ

FAQ

Do you sell a ready-made HR system?

No. Our role is assessing the current state, analysing requirements, designing the structure, then configuring or developing, integrating, migrating data, training, and going live. We work with the platform the organisation chooses, or implement a system built for it; we do not represent or resell any named product.

When does an organisation need an integrated HR system?

The practical signals: calculating leave balance takes time or gets disputed, assembling attendance for payroll consumes days, document expiry dates are discovered late, or requests are handled on untrackable messages. Two of these together are usually enough to justify the system.

Can the system connect to existing biometric devices?

In most cases yes, depending on what the device or its software exposes as an interface or export. We verify this during assessment before committing, and put the alternative plainly if the device is closed: a scheduled export, or replacing it.

How are existing leave balances migrated?

We take balances from their current source, apply the approved policy rules, and issue a variance report showing every balance that changed and why. Migration is not closed before the HR owner signs off that report, because leave balance is an employee entitlement.

Does every employee need an account?

Not as a condition of going live. You can start with HR and supervisor accounts and open the employee portal in a later phase. But the larger benefit — fewer paper requests and messages — comes when employees themselves have access.
