What is the difference between a document system and shared cloud storage?
Shared storage keeps the file. A document system keeps the file together with its version, metadata, permissions, expiry date, and approval record. The practical difference is that shared storage cannot alert you before a licence expires, and cannot say which copy is current.
How are existing duplicate documents migrated?
We classify first, then migrate. Documents with multiple copies are put to their owner to identify the current version, and the rest is kept as version history. We do not migrate the folder as it stands, because that moves the disorder into a more expensive system.
Can you search inside file content?
Yes for text files and searchable PDFs. Images and scanned documents need optical character recognition to become searchable, and we assess that against archive size and whether the processing is worthwhile.
